“Coaching Life’s Winners” Runnymede Swimming Club is inclusive for all people regardless of age and ability. With training squads focussed on developing a swimmer's technique and stamina appropriately, Runnymede continue to to produce swimmers competing at county, regional and national levels. It is also proud to have the largest squad of swimmers with disabilities in Essex. To maximise communication, the club has an informative website where its policies and other important information can be found. There are notice boards in the club room which provide news and information too. We have private Facebook pages and a monthly newsletter. The committee, coaches and other club members are always available to answer questions.

General Data Protection Regulations

As a club, we comply with our obligations under GDPR in the following ways:

  • by keeping Personal Data up to date;
  • by storing and destroying it securely;
  • by not collecting or retaining unnecessary or excessive amounts of data;
  • by protecting Personal Data from loss, misuse, unauthorised access and disclosure; and
  • by ensuring that appropriate technical measures are in place to protect Personal Data.

We use your Personal Data for the following purposes:

  • To manage your membership information and process payments for the organisation we run.
  • To inform you of news, events, activities or services which we think you might like to hear about.
  • To share your contact details with officials and other authorised people and companies for the purpose of delivering the service we provide.

How long do we keep your Personal Data?

We keep your Personal Data while your membership is being processed, and upon joining, for as long as your are a member of the club. If you decide to terminate your application, or your membership, then your data will be deleted.

Your rights and your Personal Data

Unless we have an exemption under GDPR, you have the following rights with respect to your Personal Data: -

  • The right to request a copy of the Personal Data which we hold about you, without any charge.
  • The right to request that we correct any Personal Data found to be inaccurate or out of date.
  • The right to request that your Personal Data is erased where it is no longer necessary for us to keep it.
  • The right to withdraw your consent to the processing we carry out at any time.
  • The right to request that we provide you with your Personal Data and, where possible, to send that data directly to another data controller.
  • The right, where there is a dispute in relation to the accuracy or processing of your Personal Data, to ask us to restrict further processing.

Photography and Video Consent

The Club may wish to take photographs of individuals and groups of Divers which may include you (or your child).  All photographs that are taken and published will be done so in line with the Swim England Photography Policy.  The Club requires consent to take and use photographs.  You have a right to refuse agreement to you or your child being photographed. Please note, you may withdraw your consent, in writing to the Club Secretary, at any time should you wish to do so.

The club may wish to take photographs of individuals and groups of swimmers under the age of 18 which may include your child. All photographs will be taken and published in line with the Swim England Photography Policy. The club requires parental consent to take and use photographs. Parents have a right to refuse agreement to their child being photographed. As the parent or carer please indicate your permission below. Please note you can withdraw your consent in writing to the club Welfare Officer at any time should you wish to do so.

Code of Conduct and Club Policy

I confirm that I have read, and agree to abide by the code of conduct and the club policies. I acknowledge receipt of the rules of the Club and confirm my understanding and acceptance that such rules (as amended from time to time) shall govern my membership of the Club. I further acknowledge and accept the responsibilities of membership upon members as set out in these rules.

Being the parent/guardian of the above named child hereby give consent to the use of this information by the club for the protection and safeguarding of my child's health. I also give permission to the Coach, Team Manager or other Club Officer to give the immediate necessary authority on my behalf for any medical or surgical treatment recommended by competent medical authorities, where it would be contrary to my son's/daughter's interest, in the doctor's medical opinion, for any delay to be incurred by seeking my personal consent.

I understand that the club may still have a lawful need to use this information for such purposes even if I later seek to withdraw this consent.

This provides insurance for the swimmer. Category 1 is for those swimmers who do not wish to swim competitively and is £16.35. Category 2 is for those swimmers wishing to swim competitively and is £39.70. This is paid by Direct Debit each January.
